Vendor Application/Agreement:

Listed below are the terms and conditions relative to the BUY GREEN EXPOSITION. Please read carefully and then complete the Vendor Registration Form.

  1. The Buy Green Expo will be open to the public from 10 AM until 3 PM. Each booth space will be provided two (2) complimentary lunch tickets. Lunch will be served from 11:30 AM to 1:30 PM. Booths must be staffed during the scheduled times.
  2. The exhibitor options include a Standard booth for $350, or a double booth for $650. See complete options on the Vendor Registration Form.
  3. Exhibit space will be available for set up after 8:00 A.M. on Wednesday, March 28, 2012. All exhibits must be taken down by 4:30 P.M. that same day.
  4. Exhibitors are encouraged to distribute samples and promotional giveaways to attendees at your booth. Door prizes may be offered and should be scheduled for distribution in the last half hour of the Exposition.
  5. Exposition space will not be reserved until full payment is received. To ensure your space at the Green Exposition, it is necessary for you to promptly complete the on-line form.
  6. The Exhibitor shall be responsible for all of their property at the Exposition. The City of Newport News shall have no responsibility or liability for any item lost, damaged or stolen. Additionally the City shall have no responsibility for assuring any Exhibitor item is received at the hotel, placed in the Exhibit area, or paying any shipping or storage fees.
  7. All products or services displayed in booths shall be ‘green’ products that either saves energy, provides alternate sources for energy, is made from recycled materials, can be reused, repurposed or recycled, and/or protects or sustains the environment.
  8. Cancellations and Refunds: All requests for cancellatinos must be in writing submitted to expo@nngov.com . Any cancellation request received prior to March 1, 2012 will receive a full refund, minus a $50 administration fee. Any request received on or after March 1, 2012 wil receive a refund, minus the $50 admin fee, if we are able to resell your booth; no refund will be issued if the booth cannot be resold. Refunds will be made by check, issued approximately 90 days after the event.
  9. A block of hotel rooms have been reserved for Expo attendees.  Lodging costs are not included in the Exposition fee.  To reserve lodging, click on the link below and enter the arrival and departure date to begin the reservation process.  Or, individuals may call Mariott's reservation system at 866-329-1758 and ask for the Purchasing Buy Green group block.  Reservations must be made by March 9th, 2012 to guarantee group rate of $129.00.  Click this link for reservations:  Newport News Marriott at City Center

Privacy Policy

The City of Newport News and Elavon, a third party contractor, requests that customers supply various personal data when processing a transaction, such as name, address, credit card information, email address and telephone number.

We use this data only for the purpose of processing the transaction or communicating with the customer about the status of a transaction.

We treat this customer information as private and confidential, and we do not disclose your data to any other third parties. Additionally, we will not distribute customer information to be used in mailing lists, surveys, or any other purpose. We are committed to safeguarding the privacy of our customers' personal data.

Marriott Newport News at City Center Rules & Regulations

  1. Wall, column and permanent building outlets are not a part of booth space and are not to be used by exhibitors unless specified in writing by the Hotel’s Engineering department.
  2. Under no circumstances shall anyone other than ‘hotel electricians’ make electrical connections, other than to 110 volt outlets.
  3. Use of open clip sockets, latex, or lamp cord wire and duplex or triplex attachment plugs in exhibits is strictly prohibited.
  4. All extension cords supplied by exhibitor must be 3-wire grounded types.
  5. All equipment regardless of source of power, must comply with NEC electrical codes as well as local and state codes.
  6. All material and equipment furnished by the hotel staff shall remain the property of the hotel and can only be removed by hotel engineering personnel at the close of the function.
  7. Exhibitor is responsible for any and all damages caused by exhibitor and/or exhibitor’s employees or customers.
  8. No items may be affixed to the wall or ceiling without prior approval from hotel management.
